Summary

We are looking for an Events and Operations Associate to join our team who will be based in our Stamford, CT office. In this role, you will report to the Director of Finance and Operations of the Steven & Alexandra Cohen Foundation and Amazin’ Mets Foundation. You will support virtual, in-person, and hybrid events which include but are not limited to internal programs, conferences, fundraisers, and off-site team travel. You will work closely with a collaborative and dynamic team, in a growth-oriented, fast-paced environment. You should have excellent project management skills and be able to consistently deliver an exceptional work product that reflects the philanthropic vision of the founders.

This exciting opportunity offers you the ability to work within a highly collaborative team across multiple organizations, where no two days are the same.

What You’ll Do

  • Plan and execute the full life-cycle of Foundation and Community events in-person and in a digital/virtual capacity
  • Event planning and project management, including creating timelines, managing the invitation process, and communicating with attendees, suppliers and stakeholders
  • Financial management, including budget development and management, expense management and invoice processing related to events
  • Source, negotiate, and manage site selections and manage contracts with venues and suppliers
  • Coordinate registration, transportation, hotel accommodations, entertainment, merch selection, audio/visual needs, webcasts, staging and speaker selection, and insurance for events
  • Some local and domestic travel (approximately 5% annually) is required for site inspections and on-site management of live events
  • Maintain detailed records of events and post-event wrap up including final attendees, budget reconciliation, and observations for business continuity and future planning
  • Co-plan with colleagues and across multiple organizations owned by the founders, including Point72 and the New York Mets
  • Act as a resource and thought partner to Foundation and Community team members on event and project management related topics
  • Support ongoing efforts to improve processes and automate manual tasks and propose strategies to make operations more efficient
  • Maintain and optimize the teams project management platform, Asana, to best facilitate work collaboration across the Foundation and Community teams
  • Support operations related projects and implementations, as needed

What’s Required

  • Bachelor’s degree
  • 2 – 4 years of event management experience
  • Excellent project management skills with the ability to manage multiple projects simultaneously; proven ability to work well under pressure to meet established deadlines
  • Motivated, self-starter, ability to work independently and project plan; ability to think innovatively
  • Experience with Salesforce and Asana preferred
  • Graphic design and experience preparing event materials a plus
  • Customer focus, approachable; ability to adjust to stakeholders needs and style
  • Strong oral and written communication skills
  • Proactive, highly organized, with great attention to detail
  • Proficient with Microsoft Office
  • Knowledge of venues and suppliers in key cities, especially the Greater NYC Metro area
  • Commitment to the highest ethical standards
