We are looking for an IT Hardware buyer based in Hong Kong to support our procurement operations in sourcing, purchasing, and managing deliveries of IT hardware across APAC. In this role, you will be responsible for requesting and reviewing quotes from suppliers, placing orders through the company’s procurement system - Coupa, and managing the logistics of deliveries to the APAC region. You will also be involved in ensuring that goods are properly receipted once received and that any invoice-related inquiries are resolved efficiently with the Accounts Payable team. The successful candidate will have strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Your future role within QRT
Working with the procurement manager in Hong Kong, supporting the IT hardware category manager based in London on executing day-to-day jobs as required across the procurement team.
Requesting and Reviewing Supplier Quotes:
- Manage the process of requesting quotes from suppliers for IT hardware purchases, ensuring competitive or pre agreed pricing is supplied
- Review quotes to identify the best value for the business, considering price, delivery time, and quality
- Maintain positive relationships with suppliers to facilitate ongoing negotiations and timely responses to quote requests
- Where required, processing NDA’s and approved order forms/agreements for signature through our Coupa contract management tool and DocuSign
Placing Orders via Coupa:
- Place purchase orders through the company’s procurement system Coupa, ensuring that all orders are compliant with internal purchasing policies
- Ensure that purchase orders include accurate product specifications, quantities, and agreed-upon pricing
- Collaborate with internal teams to ensure that orders are placed according to project timelines
Managing Deliveries and ETA Reporting:
- Track and manage the delivery of orders, ensuring equipment is shipped to various APAC locations in line with ETAs
- Monitor and report on ETAs for deliveries, providing regular updates to relevant teams and stakeholders
- Address any delivery delays or issues by liaising with suppliers and logistics providers to ensure on-time arrival of goods
- Work with the team on the receipt of goods across our APAC office, or by creating inbound requests to our datacentres as required
Receipting Goods in a Timely Manner:
- Ensure that purchase orders for goods that have been received are properly receipted in Coupa to close out the procurement cycle
- Follow up with internal teams and suppliers to confirm that goods have been received and logged in the system accurately
Your present skillset
You will have good knowledge of the procurement process, with 2+ years’ experience of procurement in a medium sized, fast paced and agile business
- Procurement Systems: Familiarity with procurement tools such as Coupa, SAP, or similar systems is highly desirable. Excellent analytical (Excel) skills.
- Supplier Management: Experience in requesting quotes, reviewing supplier offers, and placing orders with vendors.
- Logistics Coordination: Knowledge of managing deliveries and tracking orders to ensure on-time delivery.
- Attention to Detail: Strong attention to detail, particularly when reviewing quotes, placing orders, and tracking goods.
- Communication Skills: Strong verbal and written communication skills in both Cantonese and English
- Prioritisation: Diligent in managing workloads and priorities.
- Growth: Desire to develop skills across all aspects of Procurement.
