Factor_ is a ready-to-eat meal delivery service that takes a whole new approach to fresh-prepared food. Weekly rotating menus are chef-prepared and approved by nutrition specialists making mealtime simple and stress-free, and providing convenience without having to compromise. Every Factor_ meal is made from scratch using only the freshest premium ingredients. Our Factor_ brand has teams across North-America and Europe and currently delivers to residents in North-America, Sweden, Denmark, the Netherlands, Belgium and Germany. And we plan to expand to other European countries in the future. Factor_ is part of the HelloFresh Group which now includes our core brand, HelloFresh, as well as: Green Chef, EveryPlate, Chefs Plate, Factor_, and Youfoodz.

The role

The Procurement Buying team is part of the Factor-Upstream team. Together with the Procurement Specialists and the factory team you make sure that production will get their products On time, In Full and with the right Quality (OTIFIQ), in addition you are accountable for accurate and comprehensive communication towards your stakeholders in both English and German. Your mission is to make our customers happier than ever by making sure that all our orders leave the industrial kitchen with the right meals, on time, in the right quality and quantity.

Solving problems is a fun challenge for you and you are not afraid to switch between different stakeholders. You use your strong communication skills to take initiative fixing issues and recognizing bottlenecks in processes, making use of  different tool-landscapes. You know how to take the right actions to bring processes to the next level.

What you’ll do

  • Control inventory: Take ownership of inventory management by ensuring optimal levels of products required for production. Maintain an up-to-date overview of available products, ensuring accurate stock levels for upcoming production days.
  • Resolve Ad-Hoc Issues: Address challenges as they arise across internal logistics, inbound, yard, procurement, and quality. Act as the primary interface between warehousing and procurement teams to streamline problem resolution.
  • Category Management: Manage diverse (product) category groups by tailoring your approach based on their unique characteristics. Maintain the right daily quantities, handle quality concerns, navigate SKU changes, and resolve deviations effectively. Follow up on product changes during production to ensure inventory is prepared for future needs.
  • Waste Management: Drive efforts to achieve zero waste by preventing over-ordering, minimizing end-of-week waste, and closely monitoring expiration dates to avoid product disposal. Assess weekly waste numbers, identify root causes, and implement preventive measures to minimize future waste.
  • Escalate Strategically: Communicate issues to the appropriate stakeholders promptly to minimize customer impact. Share deviations with production and customer care teams and provide feedback to procurement, production, and suppliers to prevent recurrence.
  • Evaluate Supplier Performance: Analyze tickets generated throughout the week, evaluate supplier performance, and report findings to the procurement team for continuous improvement.
  • Serve as Inventory POC: Act as the primary point of contact for inventory-related inquiries from production, procurement, internal transport, QC, and FSQA teams. Ensure smooth communication across multiple platforms (e.g., email, Slack) by addressing questions and sharing updates promptly.
  • Ensure Production Readiness: Play a critical role in ensuring production has the right quantities of products to meet customer needs seamlessly. Communicate with production teams about potential deviations and proactively mitigate shortages by following up on OTIFIQ deviations with suppliers.
  • Daily Reporting and Handover: At the end of each working day, create and share a comprehensive report of the day’s activities as a handover for the next shift.
  • Actively Participate in Meetings: Contribute to team meetings by sharing insights, best practices, and improvement ideas to enhance operations and collaboration.

What you’ll bring

  • At least 1 year (preferred) relevant work experience, preferably in FMCG or retail;
  • You learn quickly, think analytically and adapt easily;
  • You are stress resistant and hands-on
  • When you see improvements, you don't shy away from speaking up and adapting;
  • You are proactive and result-oriented;
  • Fluent in German and good in English;
