It also epitomizes our commitment to sustainability, with energy efficiency levels significantly above the global average and an innovative system that recovers waste heat to warm 2,000 residential buildings in the nearby town of Mäntsälä.

The role

As the Real Estate and Office Administration Manager, you will oversee the daily operations of our offices, with the focus on the headquarters in the Netherlands, ensuring smooth functioning and a positive work environment for employees. You will also be responsible for managing real estate assets, executing office openings and expansions, and supporting the development and implementation of workplace strategies that align with the company’s growth goals. This role requires strong project management skills, excellent organizational abilities, and an understanding of facilities management in a fast-paced environment.

Key Responsibilities:

Office Operations Management & Team Management

  • Oversee daily office administration, ensuring facilities meet health, safety, and operational standards.
  • Ensure office environment meets company culture and supports productivity and employee wellbeing. 
  • Lead facilities management for existing offices, including maintenance, space planning, and vendor coordination.
  • Handle administrative tasks such as office supplies procurement and management of office services.
  • Manage team of office managers in multiple locations.

Real Estate Management and Development

  • Identify and assess potential office locations for new company branches and execute the acquisition or leasing of new spaces.
  • Plan and manage office openings, coordinating with internal stakeholders, external contractors, and local authorities as needed.
  • Develop and implement workplace solutions that foster employee well-being, productivity, and cost efficiency.
  • Supervise development of the new offices. 

Project and Budget Management

  • Manage budgets related to office operations, facilities, and real estate projects, ensuring cost-effectiveness.
  • Track and report on real estate and facilities expenses, providing analysis and recommendations for improvement.

Stakeholder Engagement and Vendor Management

  • Work closely with internal spakeholders, such as HR, Procurement, IT, and Finance, to ensure seamless operations and a high standard of employee experience.
  • Build relationships with external vendors, contractors, and property managers to optimize services, negotiate contracts, and ensure compliance.
  • Supervise external vendors and ensure quality of service. 

Compliance and Sustainability

  • Ensure all offices adhere to local regulations and health and safety standards.

Qualifications and Skills:

  • Bachelor’s degree in Business Administration, Real Estate, Facilities Management, or a related field.
  • 10+ years of experience in real estate, facilities management, or office administration.
  • 5+ years of direct people management experience.
  • Strong project management skills, with experience in managing office openings and real estate developments.
  • Excellent organizational and multitasking abilities.
  • Proficiency in budget management and vendor relations.
  • Strong interpersonal and communication skills, with fluency in both Dutch and English.
  • Knowledge of health, safety, and local compliance standards in the Netherlands, and other EU countries preferably.
