The role:
The Associate Facilities Manager will oversee facilities management at the San Francisco headquarters for SoFi. The Candidate should have a strong facility and project management background with experience in commercial real estate and a track record of improving performance and aligning facilities solutions with business objectives. The candidate has demonstrated a successful site and workplace management program to ensure a safe and healthy working environment. The responsibilities include implementing local employee engagement initiatives to align SoFi global programming and reiterate company core values and culture. The Associate Facilities Manager reports into the Site Management Team. This role is on-site 40 hours per week and will be an individual contributor role.
What you’ll do:
Site and Workplace Management
Act independently to ensure the successful operation of SoFi’s SF Headquarters and implementation of an effective workplace management program. This includes visitor and guest support and management of all expenses for the site operating budget.
Responsible for Emergency Action Planning, including office Floor Warden Program, emergency drills, and participation in other business continuity/disaster recovery efforts.
Responsible for maintaining the office’s space and occupancy program, including coordination with CRE on current/projected capacity, new hire seating, desk moves, floor restacking, updating space and seating plans.
Partner with the People team to track existing and new headcount and growth projections across the Business Units to help inform CRE decisions.
Responsible for oversight of all vendor management for the office aligning with SoFi’s contracting requirements Including the use of Ivalua and Ironclad.
Manage the site’s snack and beverage program and ensure alignment with SoFi’s overall program standards.
Participate in budget planning and forecasting with the CRE team.
Partner with cross functional teams to implement “Think Globally, Act Locally” engagement initiatives that drive employee participation and the workplace experience.
Creatively lead engagement and morale events and programs for SoFi’s SF Headquarters (in alignment with other sites) including corporate milestones, holiday celebrations, wellness initiatives, volunteer events, etc.
Be an operational lead for cultural diversity and inclusion initiatives including coordination with SoFi ERG/Circles.
Lead volunteer and give-back activities programming for SoFi in the community
Help support global and/or team-specific facility and real estate initiatives.
Draft and issue regular site updates and communications to drive participation in initiatives (via Slack, email, newsletters, wallboards), help be the voice of the office.
Project Management and Leasing Support
Project Management experience for new office builds, decommissioning and other facilities related projects in the portfolio as needed by the Head of CRE
Maintain and organize project files, critical tasks and milestones
Support lease administration
Understanding of lease requirements and operating expenses
What you’ll need:
5+ years of professional work experience in a workplace management, property management, or corporate facility management role
College degree required
Commercial real estate and facilities experience required
Strong project management experience
Strong organizational skills, detail-oriented, and ability to handle multiple and ever-changing priorities in fast-paced office environment
Excellent written and oral communication skills
Passion for being a creative and positive problem solver
Proven record of going the extra mile for your colleagues
Experience working with all levels of the organization, from management and employees to vendors/contractors
Experience with G-Suite, Microsoft Office, expense reports, AP/AR, and other office administration software. Ability to build and maintain spreadsheets for analysis and PowerPoint slides for presentations
Ability to learn new technical tools quickly, such as leasing or space management software
Passion to build and sustain team culture
Occasional evening and weekend work may be required as job responsibilities.
Experience working in an organization with varied shifts (early, mid, late, overnight, etc.)
Articulate and polished; successfully represents the organization at external events.
