We are a proprietary high-frequency trading firm operating at the intersection of cutting-edge technology and global financial markets. As we scale, weβre looking for a proactive and reliable Admin Manager to ensure our office operations, vendors, and facilities run seamlessly.
Key Responsibilities
- Oversee daily office operations and ensure the workplace is well-maintained, functional, and secure
- Manage vendor relationships for services including housekeeping, security, pantry, maintenance, travel, and courier
- Handle procurement of office supplies, IT peripherals, and admin-related assets
- Coordinate facility-related requirements like seating, desk setups, air conditioning, electricals, and internet uptime
- Maintain asset/inventory records and ensure timely AMC renewals and compliance
- Organize company events, team logistics, and offsites
- Coordinate with building management and external agencies for upkeep, repairs, and compliance (fire safety, access control, etc.)
- Manage travel bookings and logistics for team members, especially for conferences and training
- Support onboarding/offboarding of employees from an admin standpoint (access cards, desk setup, etc.)
What Weβre Looking For
- 5β10 years of proven experience in administration or facility management, preferably in a corporate or finance/tech environment
- Strong organizational skills and attention to detail
- Excellent negotiation and vendor management skills
- Hands-on experience with Microsoft Excel, Google Workspace, and inventory tools
- Comfortable working in a fast-paced, high-security environment
- A self-starter with strong interpersonal and communication skills
Good to Have
- Prior experience in BFSI, HFT, or tech/startup companies
- Familiarity with facility budgeting and cost tracking
- Basic understanding of compliance related to office facilities (fire safety, workplace hygiene, etc.)
