Job Overview:
The Payroll Specialist/Analyst is responsible for maintaining payroll-related accounts and ensuring the reconciliation and accuracy of one or more accounts within a complex accounting system. This role involves preparing accounting reports, maintaining payroll systems, supporting audits, and ensuring full compliance with tax and labor regulations. The ideal candidate will be technically skilled and detail-oriented, demonstrating integrity, discretion, and a proactive attitude. They will have a strong sense of accountability, work well in a team environment, and maintain a high level of professionalism and confidentiality in all aspects of their work.
Key Responsibilities:
Payroll Accounting and Reporting:
- Maintain and reconcile payroll-related accounts.
- Prepare accounting schedules, exhibits, summaries, and reports.
- Identify the need for new accounts or revisions to the account structure.
- Research and provide guidance on the accounting treatment of complex payroll transactions.
- Perform periodic internal audits of payroll areas and prepare materials for internal and external audits.
Tax Compliance and Record Maintenance:
- Manage all payroll tax activities, ensuring compliance with local, state, and federal regulations.
- File payroll tax returns and resolve any discrepancies.
- Maintain employee payroll records, including timekeeping, tax status, and pay changes.
- Ensure data accuracy by auditing time and attendance records and processing new hires, terminations, and status changes.
General Payroll Operations:
- Compute wages, overtime, deductions, and garnishments.
- Process pay advances, terminations, and special pay types (e.g., military, jury duty).
- Review and correct payroll system output, ensuring balanced totals and proper ledger entries.
- Prepare and file payroll-related financial reports.
- Research and prepare special reports as requested by management.
Qualifications:
Education & Experience:
- Completed at least 2 years in college; an associate or bachelorβs degree in Accounting or a related field preferred.
- FPC or CPP certification preferred.
- Extensive knowledge of ADP Celergo, Streamline, Globalview, and/or other ADP platforms such as ADP WorkforceNow, Smart Compliance, GLI required.
- Proven experience with payroll systems implementation and payroll tax compliance.
- At least 2 years of hands-on payroll experience required.
- Exposure to payroll processing across EMEA, APAC, and North America regions.
- Knowledge of regional payroll legislation and statutory compliance requirements.
