Bilingual People Generalist

About the Role   

The People Generalist will partner with the People Team for the administration of employee plans and assistance in implementing HR policies, programs and initiatives to support the business.   The ideal candidate is a highly motivated, exceptionally driven and engaging individual within a culture that is built on teamwork. people operations policies and procedures, and focused on driving our culture and ensuring adherence to our core values. This position requires discretion, good judgment and a high degree of confidentiality.  The People Generalist will work with employees at all levels within the agency, requiring solid communication skills and a professional demeanor.

What You’ll Do

  • Provide tactical support to ensure the successful coordination and communication of regular HR processes such as performance management, talent reviews, compliance, etc.
  • Support data management and analysis efforts
  • Support the documentation and further development of all processes
  • Work closely with the Senior Director, People to ensure that communication and processes across offices regionally remain consistent and seamless
  • Partner with the wider team (such as Benefits, Payroll, Operations & Talent Acquisition, etc.) as needed
  • Become fully fluent in and maximize a variety of HR systems and tools. 
  • Actively engage with the Ogilvy community as a trusted member of our People team with utmost discretion and sound judgment when handling sensitive and/or confidential information
  • Ensure data integrity, accuracy of information and reconciliation of data across systems (SAP, HRIS, ADP, benefits provider)
  • Respond to employee queries and external agencies on matters relating to human resources, payroll & benefits
  • Assist with the onboarding process for new hires and exiting process for those leaving.
  • Assist with coordination of L&D programs for employees
  • Maintain accurate and up-to-date employee files with HRIS & Payroll team
  • Administer online background check process for all new hires
  • Other responsibilities as required

What You’ll Need 

  • 3-5 years of related experience required
  • 2+ years of employee relations experience
  • Proven ability to effectively manage administrative processes and tasks in a timely and organized fashion with outstanding follow through
  • Strong analytical capability 
  • Demonstrates a strong sense of ownership and urgency for job responsibilities; has a proven ability to work on assigned tasks and projects with minimal direction and supervision. 
  • Strong verbal and written communication skills; exercises good judgment in use of various communication channels (email, phone, in-person) and is equally effective with each channel.
  • Proven ability to form and maintain effective working relationships with employees, managers, and company leadership; exhibits a professional and empathetic demeanor in all interactions.
  • Demonstrates discretion and tact in working with confidential information. 
  • Highly adaptable and solution-oriented; able to thrive in an unstructured or ambiguous environment.
  • Collaborative team member who readily performs tasks outside of his or her primary set of responsibilities to meet team goals.
  • Advanced skills in MS Office, particularly Excel and PowerPoint (will learn SAP, CultureAmp, Workday, and other systems as needed)
