As an exceptional Workplace Experience Manager you will serve as an integral member of the Workplace Experience team ensuring highly efficient administrative functions, coordination of cultural initiatives and enhancing employee experience in our Amsterdam office. This role encompasses a wide array of responsibilities focused on managing organizational efficiency, managing the Front Desk Coordinator, and connecting others in the PeopleOps team to provide seamless support in the Amsterdam office.
What You’ll Do:
- Manage our Workplace Experience Coordinator and day-to-day administrative operations
- Step in and cover team leave; actioning guest arrivals, meeting room coordination,
- Managing incoming and outgoing activity such as guests, deliveries, courier process, vendor services, phone calls, and correspondence
- Coordinate office catering and manage vendor relationships regarding any possible changes to providers (catering, cleaning, linen provider etc.)
- Deliver exceptional customer service to visiting employees, candidates and first-time guests
- Proactively plan for office growth and its accompanying rise in visitors
- Assist in planning and executing employee engagement activities such as internal and external social events, wellness initiatives and ensure the Jump Amsterdam culture is positively represented
- Manage Health & Safety for the Amsterdam and Paris offices, conducting annual reviews and regular ongoing checks
- Manage all financial reconciliation and reporting for all expenses related to WPS (food & beverage, events, gifting, swag, etc.) and WKR benefit reporting
- Establish and maintain effective communication and strong relationships across the organization to ensure office operations align with our best-in-class employee experience goals
- Support the HR team with New Hire first day experience, local benefits, insurance and pension administration and general drive to learn more
- Support and coordinate onsite interviews on behalf of our Recruitment team
- Partner with local Leadership, Tech Services and Facilities to ensure the smooth running of the office as a whole
- Maintain a good relationship with the building management team for all building related correspondence and events which may affect the Jump office (power outages, scheduled maintenance, H&S concerns etc.)
- Support miscellaneous administrative, operational and project-related tasks as required, adapting to changing priorities and needs
- Maintain and update internal documentation, office procedures, and foster positive local and global team communications
- Become to approachable topic expert for any local travel challenges. Collaborate with the EMEA/Global Travel team where needed
- Other duties as assigned or needed
Skills You’ll Need:
- A bachelor’s degree
- 5+ years of experience in Office Management
- Proven team/people management experience
- Strong interpersonal skills – an upbeat, client service orientated, can-do attitude
- Excellent organizational and time management skills with meticulous attention to detail
- Ability to travel to Paris, London and Chicago for training and collaboration
- Strong verbal and written communication skills
- Team player; able to take direction as well as show initiative
- Demonstrates sound judgement when addressing sensitive topics and consistently upholds the highest standards of confidentiality
- Drive to learn and grow
- Ability to work in a fast paced and challenging environment
- Good working knowledge of Word, Excel, PowerPoint and Outlook
- Reliable and predictable availability, for a five-day, in-office role
- HR experience is desirable
- Ability to speak Dutch and English; French is a bonus
