 The Role

The IT Operations & Facilities Coordinator is responsible for ensuring seamless IT logistics, asset management, and workspace support. This role plays a key part in maintaining efficient IT operations, optimizing facility-related processes, and coordinating with vendors to support a productive work environment.

Key Responsibilities:

Logistics & Asset Management:

  • Manage IT inventory, including hardware (laptops, printers, mobile devices, peripherals) and software licenses.
  • Coordinate procurement, shipping, and tracking of IT equipment and supplies to ensure timely delivery.
  • Maintain accurate asset records and track equipment lifecycle, from acquisition to decommissioning.
  • Support IT security policies by enforcing access controls and asset tracking measures.
  • Assist employees with hardware and software requests, ensuring a smooth onboarding and offboarding process.

Facilities & Workspace Management:

  • Oversee IT-related workspace setup, ensuring optimal placement of networking equipment, workstations, and meeting room technology.
  • Assist with facility-related requests, including office moves, power and network issues, and workspace reconfigurations.
  • Ensure compliance with workplace safety, IT infrastructure, and accessibility standards.
  • Work closely with IT and Facilities teams to maintain a well-equipped and functional workspace.

Vendor & Contract Management:

  • Coordinate with external vendors for IT support, hardware maintenance, and facilities services.
  • Track service agreements, warranties, and vendor performance to ensure service levels are met.
  • Assist in vendor selection and contract negotiations, ensuring cost-effectiveness and quality service.
  • Maintain relationships with third-party providers for IT and facility-related needs.

Process Optimization & Documentation:

  • Maintain detailed records of IT assets, facilities requests, and logistics operations to support compliance and reporting.
  • Document IT processes, workspace layouts, and logistics workflows for reference and process efficiency.
  • Identify opportunities for process improvements and implement solutions to enhance IT and facilities operations.
  • Develop and update standard operating procedures (SOPs) to ensure consistency in IT and facility management practices.

Are You a Fit?

  • Bachelor’s degree in IT, Business Administration, Facilities Management, or a related field (or equivalent experience).
  • 2+ years of experience in IT operations, logistics, or facilities coordination.
  • Knowledge of IT asset management, procurement processes, and vendor coordination.
  • Familiarity with workplace safety and IT infrastructure standards.
  • Strong organizational, problem-solving, and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Experience working with ticketing systems, IT asset management tools, and procurement platforms is a plus.
