Flow Traders is looking for a motivated, detailed-orientated and experienced full-time Payroll Specialist join our HR team in our Amsterdam office. As part of an exciting transformation project, Flow Traders is revamping its payroll process, including a comprehensive review of its HRIS (Human Resource Information System) and payroll provider. In this role, you will have a key function in facilitating this transition together with the project group, performing payroll-related activities, and supporting HR administrative functions during this period.
The ideal candidate will work closely with the HR and Finance teams to ensure the accurate processing of payroll, compliance with regulations, and smooth integration with the newly selected payroll systems and providers. The position will likely evolve into a Finance department role after the transformation project is completed, aligning with broader financial operations.
What you will do
Payroll Administration (60%)
- Ensure accurate and timely processing of employee salaries, Profit Share, commissions, and deductions using the current HRIS and payroll system of the offices in Amsterdam, Paris, Milan and London
- Maintain employee payroll records, ensuring they are up-to-date and accurate, including addressing discrepancies and ensuring proper documentation
- Ensure that all benefit programs (health, pension, etc.) and other deductions (taxes, garnishments, etc.) are correctly applied and processed in payroll
- Assist in the preparation of audit materials related to payroll and benefits and respond to internal and external queries regarding payroll discrepancies
- Ensure payroll operations comply with local labor laws, tax regulations, and industry standards
HR Administration (30%)
- Maintain and update employee files in the HRIS system, including personal data, compensation, and benefits records together with the HR generalists
- Assist the HR Generalists with the preparation of payroll and HR documentation for new hires and leavers, ensuring proper exit procedures are followed
- Assist the HR generalists with the preparation of Employment Agreements, Change letters and Termination Agreements and take responsibility for the signature process in DocuSign
Project and Process Improvement (10%)
- Participate in an ongoing project to review and assess the current HRIS and payroll system, providing feedback on user experience and identifying areas for improvement
- Work alongside HR and Finance teams to develop new workflows, address any operational inefficiencies, and support the successful implementation of new payroll systems and processes
- Assist with documenting processes, creating training materials, and communicating changes to employees as part of the payroll transformation
What you need to succeed
- Minimum 4-6 years of experience in payroll processing or payroll administration, preferably in an international company setting
- Fluency in both English and Dutch required
- Familiarity with HRIS and payroll software systems
- Strong attention to detail with a focus on accuracy in payroll processing and data management
- Excellent verbal and written communication skills with the ability to explain payroll information clearly to employees at all levels
- High level of confidentiality with an understanding of the importance of handling sensitive payroll and employee data responsibly
- Strong analytical and problem solving skills with the ability to troubleshoot issues and resolve discrepancies in payroll and HR systems
- Ability to manage multiple tasks, prioritize effectively, meet deadlines, and adjust to evolving business needs in a fast-paced and dynamic environment
- Willingness to collaborate across departments to ensure success
- Basic understanding of financial accounting principles and practices is a plus
- Experience in project management or process improvements, particularly in HR or payroll functions is a plus
- Knowledge of international payroll regulations, particularly in Europe is a plus
