What you’ll do

Are you a customer service minded individual who feels a sense of accomplishment when you can solve a problem which has a successful result?  In this key role on AlixPartners’ Corporate Services team, you will directly support multiple consulting professionals. Responsibilities include coordinating deadlines, analyzing and handling sensitive information, and playing a critical role in handling a blend of assignments. Support will include making meeting arrangements, managing business and personal calendars, booking domestic and international travel, expenses, time entries, and case documents.

The Administrative Senior Professional is a full-time role based in our Dallas, TX or Washington, DC office and reports to the Office Manager. Paid relocation is not available for this position. 

  • Handle sensitive and urgent information from clients, AlixPartners personnel, and other contacts while exercising appropriate judgment when responding.
  • Manage complex calendaring, book travel, process expense reports and time reporting.
  • Anticipate needs, prioritize responsibilities, effectively handle calendar conflicts, and proactively manage schedule changes.
  • Create and edit correspondence, invoices, engagement letters, and presentation materials.
  • Special projects supporting your clients which may include preparing meeting materials for internal and/or external meetings while working collaboratively with others to solicit information and deliver results.
  • Support internal consultants with external client event planning, travel planning, and coordination.
  • Balance multiple priorities while considering risk, importance, urgency, political impacts, and other linkage.
  • Maintain contact database and send various mailings to contacts.
  • Set up conference rooms for meetings, including catering and post-meeting clean up.
  • Perform back-up support for other admin professionals.

What you’ll need

  • High School diploma or equivalent required, college degree preferred.
  • Minimum four (4) years administrative experience; experience with a professional services firm preferred.
  • Exceptional written and verbal communication skills in English and the ability to interact with people at all levels.
  • Preference given for prior experience in legal technology industry or legal professional services.
  • Excellent organizational and prioritization skills with high attention to detail and the ability to meet deadlines and respond in urgent situations.
  • Working understanding of engagement contracting, client billing, and accounts receivable processes.
  • Exhibit sound judgment and common sense while making decisions.
  • Ability to maintain composure and maintain an executive presence during high pressure situations by being resourceful, anticipating needs, prioritizing responsibilities, and proactively managing schedules.
  • Ability to be discreet and handle confidential, sensitive information.
  • Self-starter with a proactive approach to providing exceptional customer service, possessing professional interpersonal skills with internal and external customers at all levels.
  • Advanced proficiency with MS365 Suite including Teams, SharePoint, Word, Outlook, Excel, and PowerPoint with capability to quickly learn and apply new technology.
  • Willingness to work outside of normal U.S. business hours, and as unique projects/needs arise.
  • Must have ability to start work at 8:30 AM and work full time, with the flexibility to work overtime as needed, in an office and remote environment; physically able to sit/stand at a computer and work in front of a computer screen for significant portions of the workday.

  • Ability to lift a minimum of 15 pounds.
