Job Description

The HR Operations Specialist – EMEA is responsible for managing and optimising HR processes to support employees and leaders across the EMEA region. This role includes onboarding, benefits administration, compensation support, immigration compliance, leave management, and HR system transactions. The individual will ensure data accuracy, compliance with country-specific labor laws, and exceptional support for employees via the case management system. 

 

Key Responsibilities

Core HR Operations: 

  • Process employee lifecycle transactions in the HRIS (UKG), including hires, terminations, promotions, and other job changes. 
  • Maintain accurate and up-to-date employee records, ensuring data integrity and compliance. 
  • Respond to and resolve employee inquiries submitted through the case management system (Freshservice) in a timely and professional manner. 
  • Support compliance and governance by assisting in regular internal and external HR audits, ensuring data and documentation accuracy. 
  • Partner with HR, benefits and payroll teams to ensure accurate and timely data transfer for payroll processing.  
  • Collaborate with payroll and finance teams to address compensation-related changes and ensure compliance with local laws. 
  • Maintain employee knowledge content.  
  • Work with the Immigration team to assist with the immigration processes.  

Onboarding: 

  • Coordinate onboarding activities for new hires across the EMEA region, ensuring compliance with local requirements. 
  • Manage pre-employment checks, right-to-work verifications, and country-specific documentation processes. 
  • Provide engaging onboarding experience, including facilitating introductions, distributing resources, and offering guidance on company policies.  

Benefits and Leave Administration: 

  • Act as the main point of contact for employees on benefits-related inquiries. 
  • Ensure compliance with local laws and complete necessary regulatory benefits-related filings.
  • Manage benefit administrative task such as new hire enrolment and dependent changes.  
  • Administer and track leave requests in compliance with EMEA-specific policies and regulations, including statutory entitlements. 
  • Advise employees on leave options and entitlements, ensuring seamless coordination for return-to-work processes. 

General Responsibilities: 

  • Conduct periodic audits to ensure compliance with GDPR, local labor laws, and company policies. 
  • Proactively identify process improvement opportunities to enhance efficiency and accuracy in HR operations. 
  • Prepare reports and analytics related to HR data for leadership review. 
  • Provide system training to employees and managers as needed. 

 

Qualifications 

  • Bachelor’s degree in Human Resources, Business Administration, or a related field. 
  • 3-5 years of experience in HR operations, with exposure to EMEA-specific labor laws and HR systems. 
  • Proficiency in HRIS platforms (preferably UKG) and case management systems (e.g., Freshservice). 
  • Strong understanding of GDPR and other EMEA labor regulations. 
  • Exceptional organisational skills and attention to detail to ensure data integrity and compliance. 
  • Excellent written and verbal communication skills -fluency in English required, additional EMEA languages are a plus. 
  • Proven ability to manage multiple priorities in a fast-paced, global environment.
