Position Overview:

Iterable is seeking an Executive Assistant Contractor to support the CEO, COO, and SVP of Engineering. This is a 5-month contract role covering a leave of absence and requires occasional in-office presence in San Francisco (approximately twice per month).

Our Executive Assistants are strategic partners—handling everything from calendaring and travel bookings to reporting processes and team support. We seek a natural leader who thrives in solving problems, taking on new tasks and projects, staying unflappable under pressure, and executing at a high level with integrity in this energetic and human-centric environment.

Responsibilities:

  • Provide a wide range of strategic and administrative support for the CEO, COO, and SVP of Engineering.
  • Proactively manage executives’ calendars, travel bookings, expenses, and other administrative tasks.
  • Ensure executive preparation and effectiveness by attending meetings as needed, taking notes, and being an active participant in team discussions.
  • Support the executive team by coordinating complex team rhythms, requiring collaboration with executives, partners, and other members of the Executive Assistant team.
  • Optimize work processes to maximize executive time, including weekly and quarterly reporting, goal tracking, and team meetings.
  • Take ownership of projects by prioritizing tasks, identifying gaps, and preparing materials for team meetings, such as all-hands presentations and events.
  • Collaborate with the Executive Assistant team to provide interim support, mentorship, and guidance to enhance team effectiveness.
  • Be the culture carrier of the supported teams, managing and planning team events, on-sites, and swag.
  • Schedule high volumes of meetings with internal teams and external partners, including investors, board members, and customer prospects across time zones.
  • Respond to and take action on a high volume of messages across Slack and email with urgency and professionalism.
  • Manage small projects as needed.

Qualifications:

  • 10+ years of experience as an Executive Assistant, Administrative Business Partner, or similar role, ideally in both small and large-scale technology companies.
  • Experience supporting multiple C-Level executives in customer-facing roles.
  • Proven ability to liaise with high-caliber external customers and partners.
  • Strong organizational skills and the ability to manage high volumes of internal and external communication.
  • Exceptional discretion, professionalism, and judgment in handling confidential matters.
  • Proficiency in structuring executives’ time for maximum efficiency and balance.
  • Ability to work autonomously, prioritize competing demands, and exercise strong decision-making skills.
  • Strong team mentality, with the ability to work closely with teammates and internal stakeholders.
  • Proficiency with G-Suite, Zoom, and Expensify.
  • Experience in a fast-paced SaaS startup environment is a plus.

Compensation:
The annual US base salary range for this position at the start of employment is $134,500 - $168,000. Within this range, individual pay is determined by specific US work location, as well as additional factors, including job-related skills, experience, relevant education or training, and internal equity considerations.

Please note: This is a 5-month fixed-term contract. Employment can be structured as a 1099 independent contractor or a W2 employee through a third-party payroll provider.
