KAYAK is seeking an organized, hardworking, highly motivated individual to help with day-to-day office operations in our Berlin workspace! You will be the frontline for KAYAK's and their sister brand's operations, so high energy and a friendly demeanor are a must.

Note: this is a part time position, required to be in our Berlin Office during all working hours.

In this role, you will:

Create an Inclusive and Collaborative Environment:

  • Foster an inclusive environment for all employees and visitors.
  • Champion our Core Values and embody our company culture.

Administrative and Office Support:

  • Manage reception and visitor access, welcoming employees, visitors, and vendors
  • Assist visitors with coordinating plans, including accommodation and transportation recommendations
  • Assist local office leadership with ad hoc administrative tasks
  • Support the Office Manager with ongoing office operations and initiatives
  • Assist our P&C Team with German Employment 

Office and Event Coordination:

  • Assist with onsite food and beverage catering, including snacks and lunches
  • Maintain oversight of office supplies
  • Handle shipping, receiving, and distribution of mail and packages
  • Monitor and respond to the internal ticketing system and other communication portals

Collaboration and Partnership:

  • Be a member of the global Office Manager network, providing light coverage as backup support for other offices within the region when their designated Office Manager is out of office.
  • Partner with P&C, IT, TA, and Property Security to onboard/offboard employees with appropriate office access
  • Assist the Office Lead, IT, and Social committee to plan on and off site social events and enhance our workplace culture
  • Assist with facilitating localized programs and initiatives (e.g., Do Good Week, Sustainability, Diversity & Inclusion, All Hands, Off-sites)
  • Partner with Real Estate to maintain facilities and office operations.

  • Ability to balance multiple tasks independently and adapt to changing priorities
  • Proficiency with Google Suite, Microsoft, and Slack; knowledge of Zendesk and Canva is a plus
  • 2+ years of office management experience or similar
  • Ability to lift 40lbs (18kg) and flexibility for additional work hours if needed
  • Experience with German Employment Law
  • Written and Spoken C1 German and fluency in English required
