About the Role  

We are looking for an Executive Assistant  who is detail and solutions oriented, with a “can-do” attitude, combined with the ability to manage multiple projects/stakeholders. The EA will provide administrative and executive support to the CEO and ExCo MDs. The ideal candidate will be a strategic partner to the CEO, anticipating needs, managing complex schedules, and ensuring the smooth and efficient operation,

What You’ll Do 

  • Manage the CEO's complex and ever-changing calendar, including scheduling internal and external meetings, appointments, and travel arrangements. 
  • Prioritize conflicting demands, ensuring the CEO's time is used effectively and efficiently. 
  • Prepare agendas, presentations, and meeting materials for the CEO. 
  • Communicate effectively and professionally with internal and external stakeholders, including clients, partners, and staff. 
  • Welcome C-level guests, Regional Executives, and other high-profile visitors, ensuring a professional and hospitable experience.
  • Coordinate and manage all logistics for meetings, including booking venues, arranging catering, preparing materials, and managing technology. 
  • Assist in planning and executing company events, conferences, and off-sites,
  • Arrange and coordinate complex domestic and international travel itineraries, including flights, accommodations, ground transportation, and visas. 
  • Handle highly sensitive and confidential information with the utmost discretion and professionalism. 
  • Manage and reconcile the CEO's expenses. Liaise with other departments (e.g., HR, Finance, IT) to ensure smooth operations. 
  • Other tasks assigned to support business

What You’ll Need  

  • Must have at least 4+ years of experience in a similar position in an international company, preferred service industry, i.e. hospitality industry 
  • Excellent English & skilled in Microsoft Office   
  • Proven ability to handle confidential information with discretion and professionalism.
  • Demonstrated project management skills with an eye for detail and effective task-prioritizing 
  • Ability to take initiative and resourceful in coming up with solutions for problem solving  
  • Strong technical aptitude and ability to learn new software and technologies quickly
  • Have a "can-do" attitude and ability to handle pressure 
  • Ability to remain calm under pressure and thrive in a fast-paced, dynamic environment.
  • Flexibility and adaptability to changing priorities and deadlines.
  • Having interest or passion in Marketing - Communications field is a big plus
