We are seeking a highly organized, proactive, and dynamic Executive Assistant to support senior leadership in a fast-paced, growing start-up environment. The ideal candidate will possess excellent communication and administrative skills and have the ability to juggle multiple tasks with a high level of attention to detail. Key Responsibilities:
- Executive Support:
- Manage the executive's calendar, scheduling meetings, appointments, and travel arrangements.
- Screen and prioritize incoming calls, emails, and correspondence.
- Prepare and organize documents, reports, and presentations for meetings and presentations.
- Assist with day-to-day administrative duties and any ad-hoc tasks required by the executive team.
- Project Coordination:
- Assist with creating, updating, and maintaining project timelines, budgets, and resource allocation plans.
- Coordinate and monitor the status of key projects and ensure that all deliverables are met within established timelines.
- Organize meetings with key partners, ensuring all necessary agendas and materials are prepared in advance.
- Administrative Support:
- Maintain an organized filing system for both physical and digital documents
- Assist with the preparation and submission of bids, contracts, and other necessary paperwork in accordance with the company's policies and standards.
- Oversee office operations, including ordering supplies, managing office logistics, and ensuring a smooth workflow for the executive team.
- Track expenses for the executive team.
- Client and Stakeholder Communication:
- Communicate regularly with clients, subcontractors, suppliers, and partners to ensure smooth operations.
- Prepare client-facing communications and ensure that the information shared is timely, clear, and professional.
- Ad-Hoc Tasks:
- Take on additional responsibilities as needed, including assisting with recruitment efforts, company events, or other business development projects.
- Provide general office management, including coordinating office events, supplies, and maintaining a professional office environment.
Qualifications:
- Bachelorβs degree in business, or a related field.
- 7+ years of experience as an executive assistant or administrative support role, with experience in the construction industry or a related field.
- Basic understanding of construction terminology, project management principles, and industry best practices.
- Excellent communication, interpersonal, and organizational skills.
- Ability to work independently and handle multiple priorities in a fast-paced environment.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint), and project management tools such as Trello, Asana, or similar platforms.
- Ability to maintain discretion and handle confidential information.
- Strong problem-solving skills and the ability to adapt quickly to changing priorities.
Preferred Skills:
- Experience with start-up environments or growing businesses.
Additional Information:
- This position will be based in College Grove, TN.
- Occasional travel may be required.
- Flexibility in work hours and the ability to work under pressure.
