Reporting to the Senior Director, People Operations & Analytics, the People Operations Specialist will help facilitate our people processes and programs across Human Resources, Learning & Development and Talent Acquisition for global teams, creating a world class employee and candidate experience. 

The ideal candidate will bring a hardworking approach and be a fast learner with outstanding follow-up skills and attention to detail. This is an exciting role for an emerging professional looking for a growth opportunity on the People Team in a global organization. You’ll play a pivotal role in ensuring operational excellence, data integrity, and a seamless employee experience while driving impactful results and collaborating across teams.

Essential Functions include:

  • This role operates on East Coast hours, requiring availability from approximately 9:00 AM to 5:00 PM ET to align with team and business needs.
  • Strives for excellence in supporting the full life-cycle of both the candidate and employee experience
  • Consistently review and audit your own work to ensure accuracy in the ATS and HRIS systems, as well as other workflows and reports.
  • Maintain data integrity and accuracy in the ATS and HRIS systems by following global processes for job and employee data changes, including new hire data entry, job changes, and requisition creation.
  • Build, automate, and load impactful dashboards and reports for People Team trends and performance as needed.
  • Performs regular system audits to ensure data integrity, including payroll and reporting accuracy.
  • Own responsibility for Acquia’s ATS, HRIS, and Benefits Systems, acting as the Subject Matter Expert (SME) for daily interactions and platform improvements.
  • Proactively identify and suggest process improvements, streamlining workflows and increasing efficiency through automation and standardization.
  • Prepare offer packets and preboarding materials for finalists, including offer letters, background checks, policy documents, and new hire forms.
  • Partner with HRBP and Finance teams to drive the monthly payroll cycle, ensuring data is accurate and deadlines are met.
  • Submits and tracks invoice processing for people systems and employment matters as needed using the purchase order system
  • Act as the first point of contact for ATS and HRIS questions, resolving issues quickly and effectively.
  • Performs compliance related reporting and activities in partnership with the HR Team.
  • Quickly build, automate, load HR reporting for internal and external systems around the business.
  • Produce market benchmarks and other compensation data as requested.
  • Collaborate with employees on HR inquiries and processes, consistently demonstrating outstanding customer service and integrity.
  • Maintains knowledge of HR practices in the industry; performs research to help problem solve.
  • Package and present recommendations to key partners through a thoughtful combination of quantitative analysis and contextual storytelling
  • Serve as the regional SME for all HR/TA/Benefits tools and platforms, continuously reviewing for optimization, keeping processes (documentation) up-to-date, and centralizing documentation
  • Drive process improvements by finding opportunities for efficiency and scalability in workflows.
  • Other Ad Hoc duties as assigned

Minimum Qualifications

  • 1-3 years of relevant Learning or People Team Operations experience
  • Outstanding customer service skills, with excellent written and verbal communication abilities
  • Completes tasks with a high sense of urgency, effectively prioritizing and balancing multiple projects simultaneously while remaining flexible
  • Self-Starter with Attention to Detail: Takes ownership of tasks, proactively identifies improvements, and ensures accuracy in all work.
  • Proactive Problem-Solving: Anticipates potential issues, proposes solutions, and ensures processes are continuously improved.
  • Ability to establish relationships, collaborate across teams, and influence partners effectively.
  • Maintains a positive, professional demeanor and ensures confidentiality at all times.
  • Proficiency in MS Office, with strong PowerPoint and Excel skills for data analysis and reporting (experience with Greenhouse, ADP, or other systems is a plus).
  • Strong interpersonal skills with the ability to establish relationships and influence at all levels of the organization.
  • Demonstrates the ability to work both independently and collaboratively in cross-functional teams
  • Critical thinking and problem-solving skills, with a focus on delivering scalable solutions and driving results
  • Self-motivated individual with a positive attitude towards growth, a proactive approach, and a strong attention to detail
  • Proficiency in MS Office, with strong PowerPoint and Excel skills for data analysis and reporting (experience with Greenhouse, ADP, or other systems is a plus)
