As a rapidly evolving and innovative technology company, we are seeking a dynamic and energetic Executive Programs Manager for the Office of Chief Product and Technology Officer (OCPTO), who will play a pivotal role in coordinating project and program activities across Product Management, Product Strategy, Engineering, Customer Engagement, Infosec, and Cybersecurity. The Executive Programs Manager will act as a key resource for successful completion of key activities within programs and projects. You will be responsible for a variety of activities, from inception to completion, to keep initiatives on track. These initiatives will enhance our product offerings, streamline engineering processes, and strengthen our customer engagement strategies. This role requires a high degree of ownership, flexibility, and the ability to navigate complex challenges effectively, always oriented towards results.  

The position may require travel, potentially up to monthly, to support business needs and attend meetings or events. In addition, there is a strong emphasis on providing executive and administrative support, including managing schedules, coordinating logistics, and handling communications. Strong organizational skills and attention to detail are critical for the smooth execution of both strategic and administrative tasks. 

Location: Based in Austin, TX, or the East Coast region.  

Job Responsibilities: 

  • Administrative Assistance: Provide direct support to the executive team, anticipating needs, managing schedules, and ensuring efficient operations for high-priority initiatives. Proactively manage executive calendars, communications, and meeting preparation for customer-facing engagements 
  • Program & Project Coordination and Management: Take charge of organizing, coordinating, and driving forward key projects. Ensure initiatives are on track and aligned with the company’s strategic goals and delivered within agreed timelines  
  • Develop and maintain detailed project schedules, including all administrative tasks and sites involved in the program 
  • Performance Management: Track performance metrics to effectively measure project and program progress   
  • Meeting Coordination: Coordinate the project and staff schedules, ensuring optimal time management, appropriate focus to align activities and decision-making processes to ensure achievement of objectives 
  • Event Coordination: Plan and execute executive-level customer meetings, events, and board sessions, including logistics, agendas, and follow-ups. Ensure all customer engagements are meticulously organized and run smoothly 
  • Problem Solving and Innovation: Proactively identify bottlenecks and challenges within initiatives and programs. Propose and implement innovative solutions to enhance efficiency and effectiveness 
  • Support change management efforts to ensure smooth implementation of program changes 
  • Communicate changes effectively to all stakeholders and provide guidance on adapting to new processes  

Job Requirements:

  • 2+ years of experience in a project coordinator, program coordinator, or similar role within a technology-focused organization  
  • Ability to work collaboratively in complex projects and with cross-functional teams 
  • Excellent communication and interpersonal skills, capable of working with diverse team members and leaders 
  • High degree of ownership and a proactive approach to tackling challenges and finding solutions 
  • Ability to work with a global organization, across cultures and time zones, travel and hybrid/remote work as needed 
  • Must be willing and able to travel, potentially up to monthly, to support various business needs and events 
  • Strong background in executive and administrative tasks, including calendar management, travel coordination, meeting organization, and document preparation 

 

Salary Range:

  • The anticipated base salary range for this position is between $90,000 and $110,000. Base salary ranges may vary by geographic location and relevant experience, education, certifications, and seniority as compared to others doing substantially similar work. There is no guarantee an offer will be at the top of the posted range based on the salary analysis.
