We are seeking an HR Coordinator to join our high-growth team, supporting a seamless employee onboarding experience and contributing to various HR projects. This role provides exposure to key HR functions, including benefits, payroll, compensation, immigration, global mobility, HRIS, and employee relations. The HR Coordinator will collaborate closely with cross-functional teams like talent acquisition, talent development, legal, compliance, and business leaders, as well as with external vendors.
This role is based out of our Chicago office with an expectation to work in the office the majority of each week.
What You’ll Do
- Onboarding Coordination: Oversee the onboarding process for new hires globally, including conducting US first-day orientation and ensuring a positive initial experience on behalf of the company.
- Employee Experience: Partner with the global people operations team to continuously improve the employee onboarding journey.
- HRIS Management: Manage the onboarding lifecycle in Workday, troubleshoot issues, and make adjustments as needed to maintain data accuracy.
- Data Integrity & Audits: Conduct HR data audits, respond to general HR inquiries, and validate employee data within Workday.
- Organizational Changes: Manage organizational changes in Workday, such as transfers and promotions, creating new organizations and job profiles when applicable.
- Payroll Support: Assist with US payroll processes, including audit and reporting requirements, and serve as a trained back-up for the US Payroll administrator.
- Benefits Administration: Oversee benefits administration, including new hire enrollments, COBRA, and invoice reconciliation.
- Policy Maintenance: Update regional employee handbooks on the Company Intranet (Confluence) as policies evolve.
- Compliance Research: Research and ensure compliance with federal, state, and local employment and benefits laws and regulations.
- Confidentiality: Protect company information by maintaining strict confidentiality.
- Other duties as assigned or needed.
Skills You’ll Need
- Education & Experience: Bachelor’s degree in a related field with a strong academic record and at least 1 year of HR experience.
- HRIS Knowledge: Familiarity with HR systems like Workday, Ultimate Software, PeopleSoft, or Greenhouse.
- Benefits Knowledge: Understanding of benefit plan principles and relevant laws (e.g., COBRA, ERISA, HIPAA, ACA, FMLA, ADA).
- Excel Proficiency: Advanced Excel skills, including pivot tables and V-lookups.
- Attention to Detail: Strong focus on accuracy and the ability to prioritize tasks effectively.
- Tech-Savvy & Curious: Interest in workflow automation and a proactive approach to technology.
- Project Management Skills: Background in process improvement and project management.
- Adaptability & Problem Solving: Creative problem-solver with resilience to change, able to adapt to ad hoc situations.
- Communication Skills: Effective verbal and written communication skills, with experience working with various management levels and functions.
