Senior Manager, HCM

Reporting to the VP of Total Rewards and People Operations, Rubrik is seeking a Senior Manager of HCM to join our world-class People organization as we scale at a rapid pace. As a key member of the People team, this role will be responsible for harnessing our mission, values, and culture to provide strategic direction, in partnership with IT, manage projects and priorities for Workday HCM, Greenhouse, and other HR applications.

This position is located in Palo Alto and works a hybrid schedule (3 days in the office)  This role is responsible for HCM strategy, business roadmap, requirement definitions, business process design,user testing, change management, business readiness, program roll-out and first line suport.  Fostering a strong partnership with IT is key as they manage configuration, build, deployment, complex reporting/data loads, and other technical project work.    This is an exciting opportunity to combine strategy with a lot of creativity and cross functional partnership to drive business impact.

Team Management (20% of time) 

  • Manage a team of 2 (with potential future growth) HCM Consultants.  Provide direction, counsel, and set goals for career growth and development.  Ensure the team is appropriately staffed and supported.
  • Ensure cross-training of all team members on key systems and processes; provide back up for team members during times of high volume workload or when out of the office.
  • Keep current on key HR systems technology & trends; network with other companies and professional organizations to stay abreast of best practices in HR systems and reporting technology.
  • Participate in Leadership meetings including topics related to goal setting, roadmap development, team management practices, budgeting, etc.

HR Systems Projects and Prioritization (60% of time)

  • Partner closely with IT management to drive progress against the People technology roadmaps
  • Own HR technology business roadmap.  In collaboration with the People Leadership team and IT, review and adjust the roadmap as needed to ensure a roadmap that balances projects that "keep the lights on" with strategic initiatives.  Ensure ROI process & metrics are outlined in framework, reporting and analytics are integrated in strategy and the roadmap proactively addresses other business group needs for employee data and interfaces. 
  • Drive systems projects for annual HR programs including Compensation planning (Bonus, Salary, Promo, and Equity reviews) as well as Performance & Talent Management.  Responsibilities include requirements gathering & documentation, system testing, business readiness, preparation of documentation, training, and communications, etc.
  • Work with customer groups (Total Rewards, Talent Acquisition, Talent Development, People Operations, and others) to gather new system requirements and create project and budget justification analysis and presentations.
  • Participate in the regular review and prioritization of HR systems tasks and small projects.
  • Preparation of system usage & project/program statistics; develop new and innovative metrics and systems analysis for quarterly update presentations.
  • Participate as Peer Reviewer for systems projects as requested.

Systems Maintenance & Support (20% of time).

  • In partnership with the Manager of Data Management, recommend, implement, and document internal processes and audit procedures to ensure data integrity of systems; update documentation on a frequent basis.
  • Identify opportunities for improving the effectiveness of processes, systems, and reports
  • Leverage HCM team to provide training for the People Services team to handle first line HR system support for Rubrikans and escalation support. Liaise with IT for tickets related to bugs or requiring IT assistance.

Desired Qualifications

  • BA/BS (or equivalent) in Business, Information Systems, HR, or similar field
  • 8+ yrs HR systems experience, including Workday, Greenhouse (desired) or other modern ATS system.  Docebo, Qualtrics, and/or LumApps experience a plus.
  • 4+ years experience in managing HR projects or programs and team management
  • Strong analytical, project management, and problem-solving abilities;
  • Obsessed with attention to detail; highly organized 
  • Flexible, fast paced, willing to work with ambiguity and think outside the box
  • Thoughtful listener, effective educator, influential consultant, and compelling communicator.
  • Proficient using Google Sheets and Excel for data analysis and modeling
  • Efficient at compiling lists of 100+ requests, categorizing, analyzing, and recommending prioritization and a roadmap to complete the work (or cancel/defer requests)
  • Exceptional project management skills required: successful experience managing multiple complex technology projects simultaneously with full responsibility for client mgmt, requirements gathering, change mgmt, reporting, business process change, and support roll-out.

The minimum and maximum base salaries for this role are posted below; additionally, the role is eligible for bonus potential, equity and benefits. The range displayed reflects the minimum and maximum target for new hire salaries for the role based on U.S. location. Within the range, the salary offered will be determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
US Pay Range
$165,800โ€”$248,600 USD
