Job Description

As a Receptionist on the Office Operations team, you will set the tone for guests’ and employees’ time in the office by providing everyone with a welcoming experience. In our fast-paced environment, you will quickly get to know our colleagues and be their go-to person for office requests. Working with the Office Operations team, you will support the fun initiatives that make Optiver a great workplace and contribute to improving office amenities. In this role, you will be at the center of the office experience.

What you’ll do:
You will work alongside the Office Operations team to ensure a positive office experience. By maintaining a constant presence at the reception desk, you will act as the first-line of support for our guests and colleagues. In this role, you have the chance to make a lasting impact on the Optiver culture.

As a Receptionist, your key responsibilities will include:

  • Autonomously operating the reception desk by answering phones, greeting visitors, vendors and interview candidates; maintaining visitor and vendor logs; providing a professional and welcoming environment in the reception area and elevator lobby
  • Appropriately responding to and escalating requests via multiple platforms, providing first-class customer service to employees, vendors and guests
  • Supporting access control and security system operations, including programming and revoking access badges, liaising with building security, security camera monitoring and footage review, data entry and reporting
  • Utilizing multiple carriers for incoming and outgoing shipments ranging in size from paper documents to multi-piece computer equipment, communicating shipment information accordingly; distributing and logging incoming parcels
  • Supporting employee gifting initiatives by maintaining accurate merchandise inventory, coordinating with other departments for restocking and packaging gifts for distribution
  • Wearing multiple hats – providing support for the Office Operations team and collaborative efforts as a firm

Who you are:

  • Excellent customer service, problem-solving skills and a professional demeanor
  • Experience in a fast-paced environment with multiple overlapping priorities and superb organizational skills
  • Proficiency with Outlook and Microsoft suite, ability to quickly learn and utilize new systems; familiarity with JIRA is a plus
    •    Prior experience in an administrative role or corporate office setting supporting 300+ employees is a plus
